Outlook & Exchange Integration with AX 2012 R3

Outlook Integration:


  1. Assign AX user’s relation first. Select a user > Click Relations > New, e.g.
2. File > Tools > Options > General: make sure the E-mail address is assigned to specific AX user:
3. Click Home > Area Page > Setup > Microsoft Outlook or Exchange Server Setup Wizard:
4. Click Next
5. Make sure the Worker and User ID are correct as setup in the 1-2 steps:
6. Pick the Current Outlook profile, and pick the contents you want to sync e.g. Contacts, Tasks, Appointments and dates and click Next > Finish:

Exchange Integration:

Exchange integration setup is almost the same except you must mention few things before you start step 3 described in previous section.

  1. AX > Organization Administration > Setup > Microsoft Outlook or Exchange Server Synchronization > Microsoft Outlook or Exchange Server Parameters

  2. Select Program to synchronize: Exchange Server and select the Exchange Server version and Exchange server URL:
 3. Click OK.

 4. Go back to Home > Area Page > Setup > Microsoft Outlook or Exchange Server Setup Wizard > Next. It will use the        Exchange parameters and ask for exchange credentials. This is the only difference from Outlook Integration and           follow rest of the steps same as previous section in Outlook Integration:
Sync Manually:

Home > Area Page > Periodic > Microsoft Outlook or Exchange synchronization > Synchronize:

The dates are only for Appointments. If you choose long period to sync, it will take some to sync between those dates.


To check all your synced contacts:

Home > Area Page > Periodic > Microsoft Outlook or Exchange synchronization > My Contacts

Set up System wide options:

Under AX > Organization Administration > Setup > Microsoft Outlook or Exchange Server Synchronization:

You can setup global parameters for Outlook/Exchange Integration.

In Parameters:

Rights: you can assign sync rights, in other words who can sync, Admin or All users.

Type : Only View or Edit.

Contacts Delete Action.


In Administration , you can view which contacts are synced and who they are synced with.

In Mapping, you can use the Default Mapping or map according to your needs.

Things to consider:

  • Exchange integration is only available in AX 2012 R3 CU8 and above.

  • Before enabling the Outlook/Exchange integration for a user, provide user access to COM+ service. User who install the AX 2012 R3 client on user’s workstation, already have access to COM+ service. To provide user access to COM+ service, follow the below steps:

    • Control Panel > Administrative Tools > Component Services.
    • Component Services > Computers > My Computer > COM+ Applications > DynamicsMAPI/DynamicsMAPI32 node.
    • Right click Roles > New > Role. Name it as “Other Users” > Ok.
    • Expand the newly created role, right click Users folder, Click New > User.
    • Add the user you want to add and if it is Remote Desktop/Terminal server, you can add multiple users.
    • After making the changes, restart computer.

  • If you are using Remote Services/Terminal Services for users to login to AX client, the Sales and Marketing module will not support the Outlook integration.

  • Group Tasks will not Sync. But group activities will sync for Outlook appointments.

  • Only if the organizer sync the activity between Outlook and AX, then the group activity will get synchronized. In other words, the organizer must sync the activity first. If the organizer will not do it then attendees activities will not sync.

1.       Accounts Receivable > Common > Customers > All Customers

2.       Double click the “Child” Customer. In this example the child is ABC Company 2 and the parent is ABC Company.

3.       Click Customer > Edit

4.       Scroll to the bottom and select the Invoice and Delivery tab

5.       Click on the dropdown menu and select the “Parent” Company

When implementing Dynamics AX for a client the four fields in these journals that I get asked the most about are the Relation, Account Code and Item Code fields as well as the Find next option. I’ll group the Account Code and Item Code fields together for simplicity. Both the Account Code and Item Code fields have three options available to them All, Group and Table.

We recently had a client who wanted to receive goods as quickly as possible off the delivery trucks as to open the receiving door for further deliveries. They also needed the option to put the received goods to two different receiving staging areas, depending on the product, before moving them to their final location in the warehouse.

The trouble here is that AX will not allow 2 put actions on a PO Receipt while also using the Unit Sequence and Unit Conversions of the item to assign license plates to less than pallet amounts during receipt. The quickest way to receive goods off the trucks in their case was to use the “Purchase Order Line Receiving” mobile device menu option. By using the “Line” rather than “Item” receiving option, we eliminate the need to type in lengthy Item IDs, instead opting to enter the PO line number on the order and having AX sort out which item and item details it’s expecting to receive.

The first thing you’ll need is a simple work template, that defines the pick/put actions and Work Class ID that is available to the mobile device to perform the work.

1. Select the address   USMF -> Accounts receivable from the Address bar by clicking the navigation path arrows.

2. Click Area Page node:   Accounts receivable -> Inquiries -> Journals -> Invoice journal.

3. Press CTRL + G to filter by date or Invoice account and etc. At the end of this there will be some shortcuts for CTRL + G that may come in handy.
